Twilio — for claims SMS alerts
Vapi — End-of-Call Webhook URL
In your Vapi assistant, go to Server URL → End of call report and paste this URL. FrontDesk logs every call and auto-creates service tickets and claim alerts.
Vapi — Assistant Request URL (for after-hours)
Set this as your Vapi assistant's Server URL → Assistant Request. At each call start, Vapi will ask FrontDesk for a live system prompt that reflects current time and whether the office is open or closed. The AI then automatically applies after-hours behavior.
AI Receptionist System Prompt
Copy this into your Vapi assistant's system prompt. It fills in your agency name and receptionist name from the fields above.
Vapi Setup Checklist
1. Create a Vapi account at vapi.ai
2. Create a new Assistant — set model to GPT-4o or Claude Sonnet
3. Paste the system prompt from above into the assistant's system prompt field
4. In the assistant's Server URL section, paste the End-of-Call Webhook URL above
5. In the same Server URL section, also paste the Assistant Request URL above — this enables live after-hours switching
6. Add a phone number to the assistant (Vapi-provided or import your Twilio number)
7. Copy your Vapi API Key and Assistant ID into the fields above
8. Add Twilio credentials if you want SMS alerts when urgent claims come in
9. Check "AI Receptionist Active" and save
10. Call the number — FrontDesk logs, classifies, and routes automatically
